As your wedding planner, we will have a minimum of seven planning meetings, will be present at your vendor meetings, handle all vendor management (recommendations, schedule meetings, communication, and coordination), work with you to create your ideal ceremony and reception design, and more!

  • Creation of Color Palette - We'll talk about the overall theme of your day and your ideal location to come up with the perfect color palette. Your color palette will be used when selecting wedding party attire, floral arrangements, decor, and more! 

 

  • Creation of Mood Board - Your mood board will be the road map used when designing the different spaces and elements for your day.

 

  • Ceremony and Reception Design - Using the finalized mood board as a jumping-off point, we will work together to pick out specific elements that are important and discuss how best to incorporate them and make the experience unique for you. 

 

  • 3D Renderings - After discussing the mood board and the overall design a 3D rendering of your ceremony and reception will be created to help you visualize how the space will look when put together. 

 

  • Floor Plan - Along with the renderings we will create a floor plan that will have all of your guest tables, as well as, the dessert table, gift table, bar, photo booth, etc.

  • Budget Creation - We will sit down and talk about your overall vision and what part of your day is the most important. We will calculate the industry average for the services and elements you wish to have. From there we will know what the next best steps are. 
     

  • Decor Sourcing - With the design finalized and the rendering approved, Evrgreen will do the leg work and provide sources for the decor needed to make your vision come to life.

  • Vendor Management:
    ​

    • Vendor recommendation - We'll help you find vendors. Share your preferences and budget and we'll do the legwork work to narrow down your options.
      ​

    • Vendor Booking - Once the couple has chosen a vendor they would like to move forward with, we will help to facilitate the booking process. Ensuring the contract has been delivered and signed and checking the retainer has been paid to secure the date.
      ​

    • Vendor Meetings - Every meeting a vendor has planned, as well as, potential random meetings, Evrgreen will schedule and attend to take notes and help answer questions. 
      ​

    • Vendor Communication - Evrgreen will take over communication with your vendors, allowing you the opportunity to relax and focus on other aspects of your wedding.
       

    • Final Numbers - Once the final RSVPs have been submitted, Evrgreen will share these with the caterer, venue, florist, linen company, rental company, bartender, baker, and any additional vendor who will need to be aware of the information. 

  • 7 Meetings - Our meetings will focus on discussing vendor preferences, design choices, the order of events for the day, reviewing any questions the couple may have, providing guidance when needed, and much more! 

 

  • 6 Presigned Contract Reviews* - You love the vendor you met with and the services they offer, but you're unsure about the contract. Share it with us, we'll take a look and let you know our thoughts.

 

  • Website edits - If you plan to use a wedding website, we can help with minor changes. Sometimes you realize you want something a different way but you're not sure how to do it or you know it will be a few days until you will be able to make the adjustment. Let us know if you need a photo changed, want verbiage updated, or need something removed, we’ll be able to help. 

 

  • Digital RSVP tracking - When using a wedding website for RSVPs, Evrgreen will help monitor the final guest count and any potential guest notes, such as food allergen information that will need to be shared with the food vendors. 

  • Planning Forms:
     

    • Couple’s Planning Timeline - To help you remember when attire needs to be ordered and more.
       

    • Song Selection Form - For an easy place to list out the songs you want for special events.
       

    • Family Photo List Form - Family photos can be one of the busiest times of the day. Be prepared with a list of names for the photographers.
       

    • Detailed Photo List - From the items typically included in the personal detail shots to the different types captured with the wedding party. This list will have you covered and prepared when talking with your photographer about the types of images you would like captured on your wedding day.
       

    • Guest List Form - Start collecting names, addresses, phone numbers, notes, etc.
       

    • Seating Chart Form - Once the RSVPs come in, start adding the names to the seating chart.

  • Hours - On the day of the wedding your lead coordinator and assistants will be on site for 12 hours.
     

  • Staff - All Evrgreen couples will have additional peace of mind knowing there will be 1 lead coordinator and 2 assistants on-site the day of their wedding.

Common Extras

  • Additional staff to Setup - We will instruct you on the best way to pack your decor to help with an efficient decorating time. Evrgreen will bring 3 to 4 additional hands to setup your space on the day of the wedding.
     

  • Additional staff to Breakdown - We will meet to discuss how you plan to pack your decor and how you wish Evrgreen’s staff to repack the items. During the meeting, we will also talk about where the empty decor boxes will be found and which vehicles the decor is to be loaded into. Evrgreen will bring an assistant to the meeting and on the day of the wedding have 3 to 4 additional hands to break down your space.
